How the week filled up

- The calendar stays the same. What changes is what you need to see: the day while you work, the whole period when you want to see where the gaps are.
- 3 prices
- List, cardholder and reserved prices already sit on the service. At the till you do not have to decide every time who pays what.
- 1 time
- Skin type, allergies, what the treatment needs. You ask when you need to and it stays in the service sheet, so at the next session it is already there.
The notebook does not tell you why Thursday is empty
You write a name and a time. While appointments are few, that is enough. Then not all services take the same time, two appointments overlap, somebody does not show up. At the end of the month you know how much you took, but not how much of the day you filled and how much time was left empty.
Inside RelAI the duration sits on the service together with who can do it. When you choose the treatment, the book already knows how much room it takes and who is available, and it only offers times that actually work. You do not have to work out the free time while you are working.
And what happens during the session stays tied to the person. The service sheet stays in the customer profile, the reminder the night before goes out on its own, and whoever wants to book at eleven at night finds the free slots without calling you.
Duration and qualified staff already sit on the service. When you choose the treatment, the book shows only the times that fit.
Services have a duration, a price and materials. Several sessions together become a package; what renews over time, a subscription.
The service sheets are filled in during the session. When the customer comes back, you find what you did without starting over.
Book. Welcome. Find it again.
First you find the right time. When the customer arrives, what the session needs is already in front of you. What happens stays written down, so when they come back you do not have to start over.
Thirty minutes or ninety. The book already knows.
Every service has the duration you set. The book matches it against who is available, so you choose the times that leave the fewest gaps between one appointment and the next.
One session at a time. Or not.
A service can end there, become a package of sessions to count down, or a subscription that renews. What changes is how you sell it and how long it stays with the customer.
One session, with duration and price
You always know how many sessions are left
Ten sunbed sessions, five massages, a course of treatments. Packages are paid for once and then count down with every session, until the expiry date you set. You and the customer see how many are left, without having to redo the count every time.
Every month, without starting from zero
For people who come back regularly, the subscription follows the recurrence you set. Any special prices stay on the service, while frequency and renewal sit on the subscription, so you do not have to recreate it every time.
Who can do it, you decide beforehand
For every service you choose who can carry it out. If on that day none of the qualified people is available, that time is not offered: you do not have to set an appointment only to move it later. The materials list stays tied to the same service and takes the products out of stock when the session is over.
The customer leaves. The session stays written down.
Products used, photos, notes and what you observed do not stay in the memory of whoever was there. You find them in the service sheet when the customer comes back.
A facial needs different information from a manicure. The sheet templates are linked to the service, so when you start the session the right one already opens and you do not have to pick it every time.
The sheet is filled in one item at a time and you can go back to it during the session. Who filled it in and when is recorded, so if two people work on the same customer you know who each entry comes from and which moment it refers to.
A before-and-after photo, a reference image, a document from the customer. The attachments stay linked to the sheet of that session, so when you open them again you know straight away which customer and which appointment they belong to.
All the customer's service sheets stay in order, from the first to the last. Before starting you can reread what you did, the notes and the attachments from previous sessions, so you do not have to piece their history together every time.

Questions about the book
How does it know which times are free?
It starts from the duration of the service, the qualified staff and that day's shifts. If at least one person who can do that treatment is available for the whole time needed, that slot can be offered. So you do not have to work it out in your head every time.
What happens to the people who do not show up?
You mark the appointment as a no-show. The absence stays linked to the customer profile and ends up in the month's statistics, so you see how many times it happened and how much room it left empty in the book.
Do I write the reminders myself?
The text, yes, once. Then the rule can send it twenty-four hours before every appointment. When the session is over, a review request can go out too. Texts, rules and deliveries are managed on the communication page.
Do I have to use the service sheets?
No. You turn them on when what you do today depends on what happened in the previous sessions and you want to find notes, photos or other information again. If the service starts and ends in the same appointment, the book may be enough.
Can a package be used at more than one site?
It depends on how you set it up. The package stays on the profile of whoever bought it, while the services and the people who can provide them stay tied to each site. It is valid for the period you set on the package.
Can I have more than one person in the book?
Yes. If several staff members are qualified for the same service, the book takes everyone's availability into account. The time stays available as long as at least one of the qualified people can handle it.
Does it connect to the till?
To the RelAI till, yes. The service is a catalogue item like a product: you ring it up and, if it has a materials list, the linked products are taken out of stock when the session is over. If you only sell services, you can keep just those in the catalogue.
Who applies the special prices?
List, cardholder and reserved prices are already configured on the service. When a customer is entitled to one of the special prices, at the till you do not have to decide how much to charge each time or remember it by heart.
Where do photos and attachments end up?
They stay linked to the service sheet of that session and in the customer's history, in date order. When you open them again you know which appointment they belong to, and the same deletion rules apply as for the customer's other documents.
